Cancellation Policy

This explains what happens if you cancel a confirmed booking with Osat International Tours & Travels. It works together with our Terms & Conditions. The exact charges for your trip are stated in your booking confirmation and always take precedence over the general guidance here.

How to cancel

Send your cancellation in writing to info@osatintltourstravels.com. The cancellation takes effect on the day we receive it, and that date determines the charges that apply.

What a cancellation costs

Two things make up a cancellation charge:

  • Supplier charges. Airlines, lodges, camps, ground operators and insurers each have their own cancellation rules. Some fares and peak-season lodge nights are non-refundable from the moment they are booked; others reduce in value the closer you get to travel. We pass on the supplier charges that actually apply — no more.
  • Our service fee. The deposit shown on your confirmation covers the work of planning and booking the trip and is non-refundable.

In practice, cancelling months ahead of travel usually means losing the deposit and any non-refundable supplier items, while cancelling close to departure can mean losing most or all of what you paid. We will always give you a written breakdown of the charge and refund whatever we are able to recover from suppliers.

Refunds

Refunds are made to the original payment method once suppliers have confirmed and released the funds to us. Airline and lodge refunds can take several weeks; we will keep you updated and pay you as soon as the money reaches us.

If we cancel

If we have to cancel your trip — which is rare and normally caused by events beyond our control, such as a lodge closure, an airline route suspension, or a government travel restriction — we will offer you a comparable alternative or refund every amount we can recover from suppliers, together with our service fee.

Insurance

A good travel insurance policy taken out when you book can cover cancellation charges if you have to call off the trip for a reason the policy accepts, such as illness. We strongly recommend arranging cover as soon as your booking is confirmed.
